With [**Booker Tools**](https://booker-tools.com/) connected to Vrbo your unit’s availability, prices, photos and booking conditions will be updated in real-time and made available to practically every person worldwide shopping for a holiday accommodation. Once a booking has been made, it will be sent back to **Booker Tools** instantaneously.

### **Are you qualified to start working with Vrbo?**

If you are a legal entity (for example: a company) or a natural entity with VAT or TAX identification regardless the number of properties that you run, you are qualified to start working with Vrbo.

### How to start?

To start the self- service onboarding process/activation please click on the following [link](https://vrbo.com/p/onboard). The onboarding process or the onboarding activation will be different depending on the chosen client type. There are in total three available client types:

1\. new clients who don't have an open Vrbo account "**Net New Partners**" (Property managers who&#x20;have never listed on&#x20;Vrbo),

By clicking on the link above you will be guided through the activation process, just be sure to select the right options (depending on the client type).&#x20;

**Example**

If you already have a Vrbo account, do not select "**No"** to the question "**Do you have an account with HomeAway or its affiliated partners?**"

**Kindly note**:

*→ In case you have an account that was previously integrated with another software, please contact us before the onboarding activation.*

*→ Available onboarding types are manual (activation time approx 13 days) and self-service onboarding (activation time approx 24 H).*

*→ During the onboarding process, Vrbo integration specialists will be available for any inquiries or potential onboarding issues.*

*→ Be sure to prepare credit or debit card details needed for Vrbo’s Commission Payment​*

### Payments

Vrbo is NOT a merchant of record, this means you will directly receive the payment from the guest. Since Booker Tools is fully PCI compliant, this means that we are certified by the payment industry to handle credit cards. The credit card details will be transferred from Vrbo to Booker Tools for each reservation, and available/visible within each reservation. This way you are in control of your funds at all times.

### Vrbo commission

As a integrated partner Vrbo will charge a commission of 15 % or 12% (depending on the country) for each booking made through their platform, and they will invoice you once a month (example: you will be invoiced in March for all reservations with the check out date in February). No additional commission fees will be collected from the guests.

## Activating your connection to Vrbo

**Vrbo/HomeAway** will be activated upon request, so please contact the Booker Tools support team at <info@booker-tools.com> to enable you the connection (i.e. activate the channel/distribution). After the activation, **Vrbo/HomeAway** will be listed as a channel partner (distribution), and it will be visible within the **Channel manager** tab of a selected property.

After the request for Vrbo connection, we (Booker Tools support team) are entering the advertiser id, merchant name, and rental agreement for your account, after which you are ready to enable your listings to feed over to Vrbo (publish your listings on Vrbo). The **Advertiser ID** will be visible within the **Channel manager** option situated in the **Integrations** dropdown menu within the left sidebar of the user interface. To view the advertiser ID follow the next steps:

1. click on the **Integrations** dropdown menu (situated within the left sidebar),
2. select the **Channel manager** option within the **Integrations**,
3. within the **Channel manager** option click on **Setup** to view the **Advertiser ID**

**The activation process consists of two steps**:‌

1. account setup and
2. enabling listing to feed over to Vrbo.

‌

Below you can find more details about each activation step.

### **1. Account setup**&#x20;

&#x20;Contact your assigned Vrbo Account Manager or Support. They will set your account and listing preferences so that you can begin the activation process.

### **2. Enable your listings to feed over to Vrbo**

In order to enable a property to feed over to Vrbo follow the next steps:

1. apply on property level a previously created system cancellation policy for Vrbo or create a new Vrbo cancellation policy on property level,&#x20;
2. add a HomeToGo rate plan for each unit of the selected property and apply the previously added Vrbo cancellation policy to it,
3. activate the HomeToGo connection within the **Channel manager** tab for a selected property.

#### **1. Apply or add Vrbo cancellation policy**

Apply or add a supported Vrbo cancellation policy within the property settings. To apply or add the Vrbo cancellation policy for a selected property, click on the option **Cancellation & prepayment** option within the **Policies** tab.

1. Click on the "**Policies**" tab.
2. Within the "**Policies**" tab, click the option "**Cancellation & prepayment**".
3. Apply a Vrbo system cancellation policy by clicking on the "**Apply policy**" button, or add a new one within the selected property by clicking on the "**New policy**" button.

&#x20;If you previously added a HomeAway cancellation policy as a system cancellation policy, click on the button "**Apply policy"** (to apply it within the selected property), if you didn’t previously added a system HomeAway cancellation policy click on the button "**New policy"** (to add it manually for the selected property). For more info, please click on the picture above.  &#x20;

**Useful tip**  &#x20;

&#x20;If you haven’t previously created a Vrbo system cancellation policy, do it before you start the Vrbo activation process (it is easier to apply a previously created system policy, rather than create a new Vrbo cancellation policy for each property separately).&#x20;

To add a system cancellation policy follow the next steps.

1. Click on "**System**" (it is situated in the left sidebar of the user interface).
2. Within the "**System**" dropdown menu click on "**Settings**".
3. Within "**Settings**" click on  "**System templates**".
4. Within the "**System templates**" dropdown menu click on "**Cancellation policies**".
5. Within "**Cancelation policies**" click on the button "**New policy**".

**Supported HA cancellation policies:**      &#x20;

→ HA - Firm - 30 days,       &#x20;

→ HA - Moderate - 14 days,   &#x20;

→ HA - Non refundable,&#x20;

→ HA - Relaxed - 7 days and       &#x20;

→ HA - Strict - 60 day**s.**

**Kindly note**: Only one cancellation policy can be added per unit of a selected property, and it is set on rate plan level.          &#x20;

**2. Rate plan**

To add a rate plan for a unit of the selected property follow the next steps. &#x20;

1. Click on **Units** tab.
2. After that click on the edit button of the unit for which you would like to add a rate plan.
3. Within the unit overview click on "**Rates and availability**".
4. Within the "**Rates and availability**" dropdown menu click on "**Rate plans**".
5. Within the "**Rate plans**" overview click on the button "**New rate plan**".
6. After clicking on on the button "**New rate plan**" a side window will open on the right side of your screen, within which you are adding the new rate plan. First enter the rate plan name, then select the rate plan type, after that select HomeAway distribution and HomeAway cancellation policy for the new rate plan and save the entrance by clicking on the "**Save**" button.

If the selected property has more then one unit, you can copy the previously created HomeAway rate plan to the remaining units by selecting the HA rate plan (mark the checkbox left from the rate plan name) and clicking on the button **Copy**.

**Kindly note**:&#x20;

*→ only one Vrbo/HomeAway rate plan can be added per unit of a selected property,*&#x20;

*→ the cancellation policy (previously added within the property settings) of the unit for which the rate plan is created is added/defined within the rate plan.*   &#x20;

**3. Channel activation**

Within the **Channel manager** tab click on the **Activate** button of the Vrbo/HomeAway distribution. &#x20;

After you activate the channel, activate each unit that you would like to list on Vrbo by clicking on the **Activate** butto&#x6E;**.**

After the unit activation add the unit headline by clicking on the **Headline** button (the defined headline will be visible in Vrbo dashboard) and push the unit to Vrbo by clicking on the **Create** button (look at the picture below).<br>

It takes from 48-72 hours for a published listing to be live on Vrbo (i.e bookable to the guests). All content changes (pictures, descriptions, amenities, cancellation policy...), as well as inventory changes (prices, restriction, availability, unit status) are managed from Booker Tool.&#x20;

**Kindly note**:

*For all additional content changes, the data must be manually synced to **Vrbo/HomeAway**. To do that, after the content change please go to the **Channel manager** tab of the selected property*

*To sync the previously done changes to Vrbo, click on the **Sync** button of the unit (for which you have made the changes).*

### **Additional mapping {If you are connecting an existing Vrbo account  (containing manually added listings with reviews) the existing Vrbo listings need to be mapped with the corresponding external IDs from** **Booker Tools}**

The Vrbo Implementation Specialist will then work with the Vrbo Engagement Manager to set up your Listings and Online Booking (OLB) integrations. If you had existing listings on Vrbo, the (Vrbo) Support Team will work with you to transfer reviews to your new listings.&#x20;

### **Troubleshoot issues and use the Vrbo dashboard**

Your activation is almost complete! Your Implementation Specialist will end the project with explaining how to troubleshoot errors on your nightly audit report and how to navigate your Vrbo dashboard. If you have any questions after your project closes, contact the Support Team for Integrated Property Managers (see bottom of this document).&#x20;

**Note**: After you are integrated, Booker Tools becomes the system of record for rates, calendars, listing content, and photos. Any listing content entered on the Vrbo dashboard will be overwritten by the feed.

## Property information that feeds to Vrbo

### Minimum content requirements on Vrbo&#x20;

To ensure that all listings meet basic quality standards, all new listings must meet the following requirements:&#x20;

* Headline must include at least 20 characters (max of 80)
* Description must include at least 400 characters (max of 10,000)
* Each listing provide have at least 6 photos&#x20;
* Bedroom and bathroom count should be included for each listing
* An accurate address and latitude/longitude are required for each property
* Updated calendar and rates information must be provided
* Registration number must be specified for listings in jurisdictions that require it

### **Description**&#x20;

The following description text areas from **Booker Tools** => **Property description** on property level and **Space description** on unit level) are sent to the main description text area within Vrbo/HomeAway, while the **Property summary** (on Booker Tools property level) is sent to the summary text area within Vrbo.

### **Property information update**

If you want to update the information about a property (location, check in information, house rules, descriptions, number of bedrooms, number of bathrooms, fees, occupancy…), change photos, add or remove content, etc… do it directly within Booker Tools, and sync the data afterwards to Vrbo by clicking the **Sync** button of a selected unit within the **Product management** option of the **Vrbo/HomeAway** distribution.

The previously synced data will be visible on Vrbo frontend within the interval from 24 - 48 hours.

&#x20;\
**Kindly note**

*By adding the room setup of a selected unit within Booker Tools be sure to add the corresponding inventory within it (example:  bed type (king, queen, double, single…) for each bedroom, bathroom content (shower, toilet…) for each bathroom, etc.. If the unit has more then one bedroom or bathroom be sure to add each bedroom and each bathroom separately (**do*** ***not** add only one bedroom or bathroom if the unit has two bedrooms and bathrooms, and **do not** set the quantity to two for them, add each of the bedrooms and bathrooms separately).*

### **Property registration number**

To add a unit/listing registration number in Booker Tools, click on the **Owners** tab of the selected property, enter the owner settings by clicking on the **Edit** button, and add the registration number within the **General** **Owner** settings  (the registration number is usually the class ID of your rental documentation). If you manage a multi-unit property owned by several owners (each unit is owned by a different owner) the registration number is added for each owner separately.

### **Photos**

Only the first 50 photos feed to Vrbo. The recommended resolution is 2048 x 1536 pixels and the maximum photo size is 20 MB

### Fees

Fees are only sent to Vrbo if they are not included in the price. Fees are sent as stay collected fees due to checkout, and the charge type percent per night is not supported.

The following fees form Booker Tools are supported by Vrbo:

* resort fee,
* bed linen fee,
* cleaning fee,
* pet fee,
* parking fee,
* city tax fee,
* baby cot fee,
* laundry service fee,
* Jacuzzi fee,
* internet fee,
* electricity fee,
* air conditioning fee.

The fee amount will not be included in the total received from Vrbo for a selected reservation and  the fee is charged at the property.&#x20;

Example 1

Cleaning fee setup for "Apartment Excellent".

Cleaning fee of 15 € per stay in not included in the price (for more details, please click on the picture below).

The fee is sent to Vrbo as stay collected (which means the fee is going to be charged at the property).

While making a reservation the guest will see the following display on Vrbo  :point\_down:

**The price that we receive from Vrbo for this example would be&#x20;**<mark style="color:orange;">**€ 195.00**</mark>**&#x20;(without the cleaning fee). The cleaning will not bee added to total price received from Vrbo and Vrbo is not taking their commission on the mentioned fee.**&#x20;

To add, remove or change  the fee setup for a unit of a selected property follow the next steps:&#x20;

1. click on the **Units** tab,
2. within the **Units** tab enter a unit by clicking on the **Edit** button,
3. in the unit overview click on the **Additional fees & charges** dropdown menu,
4.

### **Rates and restrictions**

Rates and restrictions sent to Vrbo are defined within the rate plan added for the mentioned distribution of a selected unit. Please look at the text above (the part [**Enable your listings to feed over to Vrbo**](https://app.gitbook.com/@booker-tools/s/booker-tools-vrbo-homeaway-activation/~/drafts/-MdQyVMFQLofFSym4ByJ/#enable-your-listings-to-feed-over-to-vrbo)) for additional information about the rate plan creation.\ <br>

### **Default rate** **and restrictions**

Default rate and restrictions will be applied only in case you do not enter the rates and restrictions for the upcoming 18 months. To enter a default rate and restrictions in Booker Tools, click on the **Units** tab within a selected property and select a unit for which you would like to set a default rate by clicking the **Edit** button of the selected unit

After that click on **Default rates and restrictions** option within the **Rates & availability** tab and enter the default rate and restrictions.<br>

## Managing bookings in Booker Tools

### **Booking cancellation** **and modification**

Booking cancellation as well as modification is strictly done within Booker Tools. To cancel the booking, just change the booking status for a certain reservation from **Confirmed** to **Cancelled**.\
To modify or cancel a reservation click on the **Reservation** tab (situated within the left sidebar of the user interface), and click on the **Edit** button of the reservation that you would like to modify of cancel.<br>

**Kindly note**:

*→ do not forget to click on the Save button (within the reservation) if you have modified or cancelled the reservation*

*→ if a guest demands or asks you to cancel the reservation, contact the Vrbo support so they can waive the cancellation rate for this reservation afterwards (before you cancel the reservation ask the guest to request the cancellation via Vrbo / written proof)*

*→ check the cancellation policy before you cancel the reservation (i.e. if the reservation is in or out the free cancellation period)*

## How to deactivate a listing on Vrbo?

To deactivate a unit/listing of a selected property on Vrbo, follow the next steps:

1. Within the **Channel manager** tab of selected property, click on **Product management** option within the Vrbo/HomeAway distribution&#x20;

2\. Within the **Product management** overview click on the **Deactivate** button on the unit level

After the click on the **Deactivate** button you will see a popup window in the middle of your screen in which you need to confirm the unit deactivation.

3\. If you have other units that need to be active no further action is needed within Booker Tools, however if you need to deactivate the Vrbo connection completely, click on the Deactivate button on property level as well.

After the click on the **Deactivate** button you will see a popup window in the middle of your screen in which you need to confirm the Vrbo deactivation for the selected property.

4\. After the deactivation process within Booker Tools go to Your Vrbo dashboard and select the unit/listing that needs to be deactivated (you can search it by the listing ID, which is in this case 3137\_7698). Enter the listing by clicking on it.

5\. Click on the **Property** dropdown menu within the left sidebar, and select the option **Property Details**&#x20;

To hide the listing click on the option **Hide** within the **Property details** overview (see the picture above).

After you click on the **Hide** option you need select the reason why you are hiding the listing, we always choose the following reasons:

Why do you want to hide your listing?

* **The house is no longer being rented**

To finalise the “**Hide**” action click on the **Continue** button.

After you hide your listing it will no longer be bookable and visible to the guests.
